Assistant Director of Academic Affairs, Graduate School of Arts & Sciences Georgetown University

The Assistant Director of Academic Affairs, in one of two equivalent positions, splits responsibility for delivery of GSAS academic services to its students and to the faculty and staff of its graduate degree programs. They ensure appropriate monitoring of the GSAS students' academic progress, oversee all student records maintenance, place and remove registration blocks, and prepare reports on matriculated students for departments and for the Dean. Reporting to the Associate Dean of Academic Affairs, the Assistant Director of Academic Affairs has duties that include but are not limited to:

Records, Reporting and Analysis
  • Maintain records to ensure that the academic progress of all GSAS students is appropriately recorded and monitored, including both current and historical records - both paper and electronic formats; and provide access to these records as required by law and University policy
  • Work with the University Registrar to assure the accuracy of graduate student records in the central student information system
  • Regularly conduct reports, audits and analyses of academic progress for students across 100+ graduate programs
  • Record and report on issues identified during review and reporting exercises
  • Assist the Associate Dean to prepare enrollment reports for internal and external use
  • Work with graduate programs to codify and maintain their degree requirements in the Degree Works segment of the Banner student information system to support faculty advising function, student self-service advising, and degree clearance


Advising & Training
  • Train faculty and staff across 100+ programs on federal, institutional and school policies and procedures associated with graduate students' academic careers and holistic well-being
  • Advise faculty and staff on Graduate School and University academic policies and procedures; and implement and enforce these policies, including those concerning registration, degree program requirements, leaves of absence and return from leave, and grade changes


Graduation

Coordinate preparations for the annual Commencement Ceremony - for example, preparing program preparation, posting of final grades and student degree clearance, determining which faculty members will participate in the ceremony and the roles that they will play, assembly and distribution of diploma packets, assembly of students to form the academic procession, and coordination of support staff during the ceremony

General Support
  • Share with the other Assistant Director in the supervision of regularly assigned student workers and for the coordination of student workers for peak work periods
  • Serve on University committees related to academic affairs and student services for graduate students
  • Participate in key Graduate School events


Qualifications
  • Bachelor's degree
  • 3 to4 years of experience working in an academic institution, preferably with enrolled students
  • Strong written and verbal communication skills
  • Ability to manage multiple projects simultaneously, to meet time-sensitive deadlines, and to set priorities
  • Ability to work well under pressure and function as a team player
  • Familiarity with student information systems
  • Strong attention to detail, reporting and analysis skills
  • Excellent customer service skills
  • Proficiency in general administrative software applications - for example, Microsoft Office, Google Apps, and Adobe Pro
  • Light web-editing skills
  • Experience training others on systems, policies and procedures

Graduate degree - completed or in progress
