The Role in Brief:

Events Specialist

Working with teams and leaders across the firm, the Specialist will manage events with an innovative approach, high attention to detail, and unparalleled level of service. The Specialist is responsible for event management including but not limited to the following:

Primary Responsibilities:

  • Responsible for the planning of in-house events; including detailing event specifications with preferred caterer, audio visual, managing on-site event experience, and serving as an on-site manager
  • Manage the A to Z meeting process - owning room blocks, meeting staff recruitment, supplies, vendor relationships, meeting communication, on-site management, etc.
  • Responsible for the planning and day of management of EAB's virtual events.
  • Collaborate with program teams in developing event strategy; serving as a consultant to the team by bringing forward innovative event ideas and ensuring objectives for each meeting are set and executed upon
  • Responsible for the planning of small conferences and trade shows; including detailing event specifications with association host, creating booth design, audio visual, managing on-site event experience, and serving as an on-site manager
  • Work closely with web team, account management, marketing to develop a strategic communication plan for each event
  • Coordinate internal team and firmwide events, building culture and engagement among EAB team members.
  • Monitor attendance reports to ensure capacity is maximized at each meeting; make adjustments to meeting space or sleeping room blocks as necessary
  • Report and distribute accurate data (meeting scores, attendee comments) to all relevant internal departments; follow up on any areas of concern
  • Assist in the collection, review and analysis of historical meeting data (scores, attendance, cost, etc.) in order to predict future trends.
  • Track expenditures and ensure events are executed within projected dollar amounts; identifying opportunities for cost reductions while maintaining a superior event experience.
  • Manage meeting staff to ensure superior service is provided to both internal and external constituencies
  • Support other projects and support functions within the department

Basic Qualifications:

  • Bachelor's Degree
  • Excellent academic record
  • 1 year of post-Bachelor's work experience
  • Internal candidates must be able to demonstrate a record of achievement throughout EAB tenure
  • Experience staffing national meetings or external events
  • Demonstrated success delivering service both internally and externally
  • Proven experience managing multiple, competing priorities
  • Attention to detail

Ideal Qualifications:

  • Experience developing personal organization tactics to meet business goals
  • Ability to take initiative on projects
  • Ability to communicate by e-mail and phone with internal and external clients
  • Experience working in a team environment, as well as autonomously
  • Demonstrated computer and analytical skills
  • Positive attitude, poise and judgment
