Our Surgical Optimization departmentlocated in Wilmington De is looking for a full time Office Assistant to create a friendly, welcoming calm and efficient environment for the practice. Serves patients with poise and compassion virtually or on-site within the practice, fields phone calls, greets, and supports patients, answers patient questions, schedules appointments, registers patients and updates EMR and represents the entire practice every time there is interaction with a patient.

The responsibilities of the Office Assistant will include but are not limited to.

  • Oversees all front desk operations.
  • Assists with training of new staff on scheduling patients in: Soarian, Rev-cycle, Surgi-net and maintains all job aids.
  • Coordinates daily function of CSO office.
  • Schedules appointments with awareness of insurance, provider, and practice location
  • Insurance validation and allocation in Soarian
  • Launches Twistle pathways to surgical patients per protocol.
  • Comfortable being on camera regularly and greets and interacts with patients in a professional manner virtually or on-site to collect required demographic and financial information.
  • Processes/verifies referral information and eligibility for insurance reimbursement as needed.
  • Maintains confidentiality of workplace & patient information
  • Collects payments according to insurance requirements.
  • Verify insurance coverage & coordinates referrals for virtual and on-site appointments.
  • Prepares patients for video visits with providers as needed, troubleshoots patient issues with video visits and supports patients as they join ChristianaCare's Patient Portal
  • Performs day-end reconciliation of appointments & payments received.
  • Answers all phone calls in a professional manner and relays accurate messages.
  • Listens and responds to messages at designated intervals throughout the day (morning, after lunch, before leaving)
  • Puts messages into provider(s) and respond to messages from provider(s) regarding.
  • Communicate with provider and staff through EMR.
  • Communicates with various surgeon offices referring patients regarding inability to reach patient as well as provides a referral summary: optimized for surgery /risk analysis.
  • Prepares patient chart once referral is received, including last notes in powerchart.
  • At time of appointment reviews survey responses launched in twistle (HOOS/KOOS and PROMIS) for completion, if not completed launched real time to patient cell phone. If the patient or caregiver requires a paper format that is scanned for entry into joint registry
  • Performs general office duties such as ordering supplies, maintenance requests and follow-up.
  • Maintains unit safety manual and follows up on JCAHO mock rounding opportunities.
  • Communicate with internal and external departments.
  • Keeps patients up to date on issues until resolution can be accomplished.
  • Facilitates testing, labs, appointments, for patients.
  • Prepares medical records to include scanning and indexing tests, reports, into patient charts.
  • Responsible for researching issues, including patient portal issues, and responding to the patient in a timely and professional manner.
  • Assists with copying, faxing, and general administrative support.
  • Performs assigned work safely, adhering to established departmental safety rules and practices; reports to supervisor, in a timely manner, any unsafe activities, conditions, hazards, or safety violations that may cause injury to oneself, other employees, patients and visitors.
  • Performs other related duties as the need arises.

Knowledge, skill, and ability requirements:

Knowledge of insurance carriers

Preferred knowledge of ICD, CPT Codes & Medical Terminology

Knowledge of physician office systems and practices

Ability to work with computers.

Knowledge of referral process

Maintain patient confidential information.

Possess excellent customer service skills and warm welcoming demeanor.

Good verbal and written communication skills

Detail oriented to ensure tasks are completed.

Handle a fast-paced environment with high activity.

Ability to work with computers, mobile devices and have a general knowledge of devices.

Office Hours:

Day Shift 7:30am- 4pm Monday through Friday

Qualifications:
  • High School Diploma or equivalent
  • Experience in a medical office setting with administrative support
  • Current Basic Life Support (BLS)/CPR
