RingCentral is in search of a highly proactive and engaging Workplace Services Lead to enhance the functionality and atmosphere of our Dallas office. This role encompasses a variety of responsibilities aimed at creating a welcoming, efficient, and secure environment for both employees and visitors. The ideal candidate will blend hospitality with operational acumen to ensure seamless daily operations, coordinate with various stakeholders, and support the broader workplace and facilities team in maintaining the highest standards of workplace excellence.

Key Responsibilities:

Guest Reception and Security Coordination:

  • Create a warm and professional first impression for guests, coordinating with security to track and greet visitors, ensuring a seamless check-in process that aligns with our safety and security standards.

Vendor and Contractor Coordination:

  • Manage relationships with various vendors (catering, maintenance, event staff, etc.), escort and direct contractors to ensure they comply with RingCentral policies while performing one-off and recurring tasks.

Mail and Delivery Management:

  • Oversee the office's mailing system, manage Amazon deliveries, larger office supplies, staff mail, shipping requests, and track delivery requests and returns.

Ticketing System and Customer Service:

  • Monitor and respond to an internal ticketing system within Service Level Agreements, ensuring a high level of customer service and experience for employees.

Calendar and Event Coordination:

  • Maintain internal calendars, ensuring that service needs and visiting personnel are well-coordinated, especially during office holidays or sensitive events.

  • Collaborate closely with the Events Team for both internal and external events, overseeing logistics and supplies to guarantee flawless execution.

Facilities Management Support:

  • Assist in the general management and operation of the building, contributing to a well-run and maintained facility.

  • Act as the main interface with building management, liaising on maintenance, repairs, and other facility-related issues to ensure timely resolutions and optimal office conditions.

Security and Safety Oversight:

  • Partner with RingCentral's Global Safety and Security team to enhance office security measures and lead local emergency response efforts, ensuring preparedness and compliance with safety protocols.

Liaising with Site Leadership:

  • Serve as a key connector between the workplace services team and site leadership, ensuring workplace solutions are in full alignment with business goals.

Ideal Candidate Profile:

  • 3-5 years of experience in a role emphasizing hospitality, such as an office assistant, workplace coordinator, or similar position in a hospitality or service-oriented environment.

  • A genuine passion for creating welcoming experiences for both internal and external parties, with a keen eye for detail and a commitment to making a lasting positive impression.

  • A service and solution-oriented mindset with a focus on internal customer satisfaction, ready to tackle essential and behind-the-scenes tasks to enable others to work effectively.

  • Flexibility and a "no task is too small" attitude, capable of managing a variety of day-to-day operational needs as they arise.

  • Experience working with landlords, vendors, and security systems, adept at managing relationships, procuring services, and troubleshooting facilities issues.
