Our Department of Care Management located in Newark Delaware, DE is looking for a full time Administrative Assistant II to provide administrative support services for the Care Management Department Director, Managers, Supervisors and Educator.

The ideal candidate will be well organized, detail oriented and have the ability to multitask. Candidate to complete tasks and duties within a prescribed timeline. Strong computer skills as well as good verbal and written communication skills.

The responsibilities of the Administrative Assistant II will include;

  • Perform duties adhering to the ChristianaCare Core Values and Behaviors guided by Excellence and Love.
  • Attends required meetings and takes minutes, as necessary.
  • Maintains and orders office supplies for the Department of Case Management as assigned.
  • Responsible for answering telephones, recording messages; obtains and provides information within scope of authority routing calls to appropriate persons.
  • Responsible for greeting caregivers and visitors entering the Department suite.
  • Responsible for scheduling appointments, meetings, and maintains appropriate Outlook calendars for Director, Managers and Supervisors as assigned.
  • Organizes and schedules conference rooms for education sessions, vendors, and conferences for staff. Communicates information to all attendees in a timely manner.
  • Schedule interviews prepare itineraries, correspond with applicants.
  • Assures that all purchase orders and receiving information are sent to Accounts Payable
  • Supports the onboarding of new hires by arranging necessary accesses, vocera, IT needs, desk, and lockers.
  • Functions as the post-acute referral application Administrator. Communicates any issues/downtimes. Works with company to resolve issues. Communicates to all key individuals regarding functional status of application.
  • Updates department information in Teams site and Share Point
  • Monitor IT equipment needs; order necessary equipment; enter IT tickets as needed.
  • Responsible for entering staff schedules via Kronos Dimensions
  • Responsible for bi-weekly review of automated payroll records and review of FMLA usage reports for staff as assigned via Kronos Dimensions; including documentation of occurrence of absence, late, FMLA (self; caregiver), missed swipes, emergency days, etc.

Office Hours:Day Shift - 8:00am - 4:30pm

Qualifications:

  • High school graduate or equivalent.
  • Four years progressively responsible administrative support to an administrator or manager required.

Knowledge, skill, and ability requirements:

Knowledge of ChristianaCare and departmental policies, procedures, and standards

Knowledge of Joint Commission requirements and standards

Computer knowledge - proficiency with Microsoft Office Suite.

Knowledge of computer word processing and data base functions

Skill in oral and written communication

Typing proficiency

Ability to work independently within established procedures

Ability to work well with others in a tactful, courteous, and friendly manner

Ability to practice principles of customer service

Ability to maintain ChristianaCare confidentiality standards

Ability to prioritize work and manage time efficiently

Ability to remain calm in stressful circumstances
