Job Description

Administrative Assistant III

As required by our governmental client, this position requires being a US Citizen, lawful resident alien, citizen of American Samoa or other territory owning permanent allegiance to the United States.

Experienced in filing, administrative typing, and using word processing equipment. Proficient in preparing and editing technical documents using Microsoft Office. Skilled in transcription, data entry, and managing management support documentation. Capable of diverse support tasks including visitor access control, phone answering, and office supplies management. Interaction with senior-level managers, military, and civilian personnel. Coordinates support services, ensures security practices, and maintains efficient office operations.

Administrative Assistant III Responsibilities Include:

  • Pay commensurate with experience.
  • Prepare and edit technical or general documentation using Microsoft Word, PowerPoint, Excel, and Windows.
  • Transcribe documents with accuracy.
  • Perform data entry tasks efficiently.
  • Edit or maintain technical, budget, programmatic, and administrative documentation.
  • Prepare and edit management support documentation.
  • Manage visitor access control.
  • Answer telephones and provide information.
  • Order and receive office supplies and equipment.
  • Prepare travel documentation.
  • Coordinate travel arrangements.
  • Operate reproduction equipment for high-volume document production.
  • Manage courier services for document distribution.
  • Handle mail services efficiently.
  • Performs other job-related duties as assigned.

Administrative Assistant III Experience, Education, Skills, Abilities requested:

  • Associate degree with a minimum of seven years direct experience as an Administrative Assistant, a bachelor's degree in a related field of study or a combination of substantial experience and education in the administrative field is required.
  • Ability to interact effectively with senior-level managers, including high-ranking military and civilian personnel in medical, health care, and technical fields.
  • Capacity to coordinate and direct a variety of support services, including managing reproduction equipment, scheduling equipment maintenance, and organizing courier runs.
  • Understanding and implementation of approved security practices related to personnel and document control.
  • Ensuring efficient operation of conference facilities and overall office operations.
  • Strong organizational skills to schedule and manage various tasks, including equipment maintenance, courier runs, and conference facility usage.
  • Effective communication skills for coordinating support services and interacting with personnel at different levels.
  • Ability to adapt to the dynamic needs of high-level management and varied responsibilities.
  • Technical proficiency in utilizing reproduction equipment and other office tools.
  • Must pass pre-employment qualifications of Cherokee Federal.
