The American Heart Association is recruiting to fill an administrative support position in our Seattle, WA office. We offer a competitive salary and a great benefits package. Under the direction of the Director, Grassroots Advocacy, the Grassroots Coordinator will be responsible for providing administrative and customer service support to advocacy department staff and volunteers. The ideal person for this position has at least two years of related administrative support experience, excellent computer skills, is self motivated, organized, and works well independently as well as in a team. The location of this position is flexible to a major metropolitan area within Arizona, California, or Washington.

Key Responsibilities:
1. Create and maintain documents (within the Microsoft Office suite of products) for correspondence, reports, notices, agendas, ads, recruitment, etc.
2. Perform advocacy data entry of network contacts and report generation in the Democracy Data and Communications (DDC) system.
3. Provide appropriate information on advocacy efforts to field staff in response to their requests.
4. Perform telephone follow up with Directors, volunteers, and public; answer inquiries '' send out appropriate packets and information promptly.
5. Work on advocacy and general AHA event logistics with volunteers, AHA staff, legislative staff and vendors.
6. Manage Coordination of annual Lobby Day and Advocacy Team meetings, including travel and logistics.
7. Maintain electronic and hard-copy files; duplicate and collate materials; meter mail; generate mailing & file labels. Coordinate scheduling and mailing of bulk mails through mail house as needed (approximately annually).
8. Perform financial coding and A/P and A/R work as assigned (E-1).
9. Compile quarterly lobbying report using IQ and E1.
10. Maintain external grassroots websites, social media sites and intranet for Advocacy department.
11. Provide back-up assistance to the reception function, as assigned.
12. In addition to the above, perform other duties as assigned.

Required Experience

Minimum Qualifications:

1. High school diploma or GED equivalent required; Bachelors in Marketing, Communications, or Political Science preferred.
2. 1-3 years related administration experience.
3. Passing score on Microsoft Office computer assessment.
4. Knowledge of standard office procedures, telephone etiquette, record keeping, filing
5. Knowledge of business English, spelling, grammar, and punctuation.
6. Knowledge of data entry formats for computerized record keeping.
7. Ability to work with professional and lay volunteers and staff with sufficient maturity, judgment, initiative, confidence and poise.
8. Ability to participate in meetings, work in a team environment and interact with all levels of staff, volunteers and public.
9. Ability to conceptualize, reason through problems, make effective decisions and develop alternative solutions.
10. Ability to operate typical office equipment, i.e., copier, printer, fax, telephone, postage machine, postage scale, etc.
11. Ability to lift up to 40lbs and transport materials and other supplies to and from meetings.
12. Ability and willingness to work irregular hours and attend meetings beyond the framework of the normal working schedule as needed.
13. Satisfactory background checks including consumer credit and criminal history.
